This policy applies to parents and legal guardians (“families”), authorized emergency contacts and pickup persons, children enrolled or waitlisted at our center, visitors, and staff who interact with our Services or whose information we maintain for employment and licensing purposes.

We collect information necessary to provide safe care, meet licensing and health requirements, communicate with families, and operate our programs.
- Child information. Name, date of birth, allergies, medications, dietary needs, developmental or behavioral notes, attendance, daily care logs (meals, naps, toileting, activities), incident or injury reports when applicable, and similar information required for enrollment and daily operations.
- Family & guardian information. Names, relationships, addresses, phone numbers, email addresses, preferred contact methods, tuition and payment-related data, government ID references when required for verification, custody or pickup restrictions when disclosed to us, and signatures or acknowledgments on consent forms.
- Emergency contacts & authorized pickup. Names, phone numbers, relationship to the child, and pickup permissions as you provide on enrollment or update forms.
- Health & medical. Pediatrician contact, immunization records or exemptions as permitted by law, insurance details if you choose to provide them, and care instructions from families or health professionals.
- Photos, video, and audio. Classroom or event images when you have given consent, or otherwise as described in your enrollment agreements.
- Check-in and check-out. Who dropped off or picked up a child, timestamps, and signature or electronic verification where we use a digital sign-in system.
- Messages. Content you send through our parent or teacher messaging tools, including support requests.
- Technical data. When you use our websites or apps, we may collect device type, browser, IP address, approximate location derived from IP, cookies or similar technologies, and usage logs to maintain security and improve the Services.
- Staff information. For employees and contractors, we collect information needed for hiring, payroll, background checks as required by law, training, and regulatory reporting.
3. How we use information
We use the information above to:
- Provide childcare, education, and daily reporting to families;
- Protect health and safety, including allergy management and emergency response;
- Verify identity for pickup and comply with court orders or custody instructions you provide;
- Process enrollment, tuition, subsidies, and insurance where applicable;
- Meet licensing, inspection, and public health requirements;
- Communicate with you about schedules, incidents, tuition, and program updates;

5. Children’s privacy

We do not knowingly permit children to use our family portal or apps without appropriate parental involvement. If you believe a child has provided information to us directly in error, contact us and we will take appropriate steps.
6. Photos, video, and marketing
Use of photos or video for daily updates to families or for marketing and public websites is governed by the consents you sign at enrollment or update. You may withdraw or narrow certain photo consents where our forms and processes allow; some uses may still be permitted by law (for example, security camera footage in common areas as posted at the center).
7. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission over the Internet is fully secure; we encourage families to use strong passwords and to log out of shared devices when using our portals.
8. Retention
We retain information for as long as needed to provide the Services, meet legal and licensing recordkeeping requirements (which may vary by state and type of record), resolve disputes, and enforce our agreements. Some records must be kept for a minimum number of years after a child leaves care; other data may be deleted or de-identified sooner according to our retention schedule.
9. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to object to certain processing. Families may contact the center director to:
- Review or update enrollment and emergency contact information;
- Request a copy of records we are permitted to disclose under applicable law; or
- Ask questions about this policy or our practices.
We will respond consistent with applicable law. If we deny a request, we will explain the reason where required.
